3. When Refunds May Be Approved

Refund requests may be considered only in the following situations:

  • Duplicate payment made by mistake.
  • Payment charged incorrectly due to a technical error.
  • The project has not been started within the agreed timeline due solely to Reflective Design.
  • We are unable to deliver the agreed service for reasons under our control.

Approved refunds will be processed after review and management approval.

4. Non-Refundable Services

Refunds will not be provided for:

  • Completed or delivered projects.
  • Custom website or software development work.
  • SEO or digital marketing services already initiated.
  • Paid advertising budgets (Google Ads, Meta Ads, LinkedIn Ads, etc.).
  • Domain name registrations.
  • Web hosting services.
  • SSL certificates.
  • Third-party software licenses.
  • AI-generated content delivered to the client.
  • Graphic design work after concept approval.
  • Photography or videography services after completion.
  • Emergency or priority service charges.
  • Consultancy or strategy sessions already conducted.

5. Project Cancellation

Clients may request project cancellation by submitting a written request via email.

If work has already begun:

  • Charges for completed work will apply.
  • Any third-party costs already incurred will be deducted.
  • Remaining eligible amounts, if any, may be refunded after review.

6. Client Delay or Non-Response

If a project is delayed because the client fails to provide required content, approvals, feedback, or information for an extended period, the project may be placed on hold.

Payments already made for work completed or resources allocated are non-refundable.

7. SEO & Digital Marketing Disclaimer

SEO, social media marketing, and paid advertising depend on multiple external factors, including search engine algorithms, competition, audience behavior, and advertising platforms.

Therefore:

  • Rankings cannot be guaranteed.
  • Traffic increases cannot be guaranteed.
  • Lead generation cannot be guaranteed.
  • No refunds will be issued based solely on ranking or campaign performance.

Payments made to third parties are non-refundable, including:

  • Domain Registrars
  • Web Hosting Providers
  • Google Ads
  • Meta Ads
  • Payment Gateway Charges
  • Premium Themes & Plugins
  • Stock Images & Videos
  • Software Licenses
  • Cloud Services

9. Refund Processing

If a refund is approved:

  • Refunds will be processed within 7–15 business days.
  • Refunds will be issued using the original payment method whenever possible.
  • Processing time may vary depending on banks or payment providers.
